Copying

In accordance with Polish law it is allowed to copy documents for your personal purposes. The restrictions in this regard are included in the Law on Copyright and Related Rights of 4 February 1994.


If you wish to copy library materials, you can:

  • take photos with your own phone or camera. Don’t use flash!
  • use free of charge scanners. One scanner is located by the Information Desk, the other one is available in the Reading Room (this one can be used only to scan the materials requested from the Closed Stacks),
  • use the chargeable self-service photocopiers, which allow you to make photocopies or printouts from the BUW computers,
  • order the reprographic service at The Reprographic Office (information below).

Before you copy, check whether the publication has been digitised in Crispa digital library.

To use the photocopiers, a magnetic card must be purchased (the cost of the card itself is 3 PLN) and charged with the appropriate amount of money in the machines located on levels 1 and 2.

PLEASE NOTE: The machines only accept coins!

Cost of prints:

  • A4 single-sided photocopy – 0,35 PLN.
  • A4 single-sided photocopy  – 0,70 PLN.
  • A4 black and white printout – 0,70 PLN.

Order scans and copies at the Reprographic Office

The Reprographic Office at the Digital Resources Development Department offers the following services:

  •  scanning and photographing of original items (of up to A1 format), microfilms and microforms with professional digitisation equipment,
  • making copies and prints (one-side only).

The scan quality depends on:

  • File type:
    • TIFF (larger in size, good for publishing),
    • JPEG (smaller in size, best for reading),
  • Colour depth (quality):
    • colour (good for any kind of object),
    • greyscale (best for complicated texts without images),
    • black and white picture (best for easy texts).

PROCEDURE FOR PLACING AN ORDER FOR UW DOCTORAL STUDENTS AND EMPLOYEES

UW doctoral students and employees with a valid library card can use the free scanning service subject to the following rules:

  • Orderers may not have overdue books and unpaid fees at BUW. Individuals with unpaid fees in their faculty libraries may order scans.
  • One person may place a maximum of one order per week.
  • Scans may be ordered from all materials held in BUW, with the exception of non-academic current journals.
  • Scans will be saved to black and white TIFF files or PDF file (without OCR) (the file format is decided by the Reprographic Office).
  • Due to the provisions of the GDPR, orders placed by persons using personal data that is not their own will not be processed.

UW doctoral students and employees may order free copies of non-copyrighted and copyrighted material to the extent of:

  • a maximum of 25% of the volume of a work or the entirety of minor works,
  • for the purposes of learning, research or teaching,
  • on the condition that the materials made available are not further distributed.
  • Orders in the completed form should be sent from the e-mail address in the uw.edu.pl domain to: reprobuw@uw.edu.pl. (Note: to download the docx and rtf forms, please open them in a new tab).
PROCEDURE FOR PLACING AN ORDER FOR UW STUDENTS AND OTHER ORDERERS

Orders are processed as follows:

  1. The Reader sends a complete form to the address: reprobuw@uw.edu.pl
  2. The Reprographic Office sends estimate of the cost of providing the service to the Purchaser.
  3. The Purchaser makes a payment in accordance with the data sent by the Office.
  4. After the funds are credited to the BUW account, the Reprographic Office proceeds to fulfil the order.
  5. The Purchaser receives the ordered copies.

Only orders for materials that are not protected by copyright are processed.

UW students, doctoral students and employees may order copies of non-copyrighted and copyrighted material to the extent of:

  • a maximum of 25% of the volume of a work or the entirety of minor works,
  • for the purposes of learning and research,
  • on the condition that the materials made available are not further distributed.

University of Warsaw students, doctoral students and employees with an active library card benefit from a discount of -25% on the order processing cost.

Detailed rules for providing reprographic services
  1. Reproduction of library materials from the BUW collections is carried out with respect for the copyright and related rights.
  2. The order delivery date depends on the size of the order and together with the final cost of the service is each time determined by employees of the Digital Resources Development Department. The standard period of order completion is up to 14 working days.
  3. The cost of reproducing the library material is increased by 50%, if the order is made in express mode (out of queue order).
  4. Copies can be made directly only from books and periodicals published after 1918, as long as they are in a good condition and shall not exceed A3 format unfolded.
  5. The precondition for starting the reproduction of cimelia and valuable special collections, as well as for the execution of an order, of which estimated cost exceeds PLN 200 gross, is making a prepayment of 50% of the order value.
  6. For services performed by Digital Resources Development Department we offer the following discounts (they do not apply to orders from the Customer’s own materials):
    • 25% for UW employees, students and doctoral students.
    • 25% in the case of orders of more than 150 scans from one library material and in the same format and not posing a difficulty in processing.
    • 40% for making a digital copy if BUW decides to include it in the University of Warsaw Digital Library.
  7. Discounts do not combine on one order.
  8. It is possible to pay for reprographic services with IFLA Vouchers – 1 voucher (according to IFLA Voucher Scheme – Payment System for International Interlibrary Transactions) 8 EUR; conversion into PLN at the average National Bank of Poland exchange rate of the day.
